A quote is a promise about price made before the work exists — which makes it the riskiest document a small business sends. Get it wrong and you either lose the job or do it at a loss, and the difference usually comes down to what the quote said was <em>not</em> included.

What Quote & Estimate does

  3. Add a validity period and anything explicitly excluded.

Worth knowing

Write what is <em>excluded</em>, not only what is included. Scope disputes almost never start with someone denying a listed item — they start with an assumption about something the quote never mentioned. One line reading "Excludes hosting, stock photography and content writing" prevents more arguments than any amount of detail elsewhere.

What is the difference between a quote and an estimate?

Convention rather than law in most places: a quote implies a fixed price you are prepared to stand behind, an estimate implies an approximation that may move. If your price could change, say so on the document — the word alone will not protect you.

How long should a quote stay valid?

Long enough to decide, short enough that your costs have not moved — 14 or 30 days is typical. Put the expiry date on the document, because a quote with no expiry is one someone may try to accept next year at last year’s prices.

Is a quote legally binding?

Often it can become binding once accepted, which is exactly why the exclusions and the validity period matter. If the amounts are significant, have a professional look at your standard wording once — it will serve every quote you send afterwards.

Can I turn an accepted quote into an invoice?
