A document marked DRAFT that circulates without the mark is how an unapproved figure ends up quoted back at you in a meeting. A watermark is not security — it is a label, applied across every page so that no single printed sheet can be mistaken for final.

What PDF Watermark does

Draws your text diagonally across every page at an opacity you control, beneath nothing and above everything, so it reads on screen and on paper without making the underlying text unreadable.

Opacity is the whole craft here. Too faint and a photocopy loses it; too strong and the document becomes hard to actually read.

Detailed steps

  1. Add the PDF and type the text — DRAFT, CONFIDENTIAL, a client name, a date.
  2. Set opacity. 20% is legible on screen and survives photocopying.
  3. Set the font size so the phrase spans the page without running off it. Longer words need smaller type.

Worth knowing

Keep the phrase short. At 48 pt a diagonal watermark comfortably fits about eight to ten characters across an A4 page; "CONFIDENTIAL — DO NOT DISTRIBUTE" at that size runs off both edges. Either shorten the words or drop the size to around 24 pt.

Can the watermark be removed?

Yes, by anyone with a proper PDF editor — it is drawn as an object in the page, not fused into it. Treat it as a label that prevents honest mistakes, never as protection against someone who wants it gone.

What opacity should I use?

20% is the sensible default and survives a photocopy. Drop to 10% if the document is text-dense and the mark is getting in the way; raise toward 40% if the file is going to be screenshotted, where faint marks disappear.

Can I watermark only some pages?

No — it applies to every page, which is usually what you want, since a partly-marked document is exactly the one that gets misread. To mark a subset, split the file, watermark that part, and merge back.

Will it cover my text?

It sits over the page at low opacity, so text stays readable underneath. If it feels heavy, reduce opacity before reducing size — a large faint mark reads better than a small dark one.
