A professional invoice answers five questions immediately: who is charging, who must pay, what was supplied, how much is due and what happens next. Fancy decoration cannot rescue missing terms or an unexplained total.
This guide covers the practical structure. Tax, invoicing and record-retention rules vary by country and business type, so confirm mandatory fields with a qualified local adviser or tax authority.
Invoice, quote and receipt are not interchangeable
A quote presents proposed work and price before acceptance. An invoice requests payment for goods or services supplied under agreed terms. A receipt records that payment was received.

Include the essential information
A clear invoice usually contains:
- Your business or trading name and contact details
- Client name and billing details
- A unique invoice number
- Invoice date
- Description, quantity and unit price for each item
- Subtotal, discount, tax and total
- Currency
- Payment terms and instructions
- Any registration or tax identifiers required locally
Use descriptions the client can connect to a contract, milestone or delivery. “Design work” is vague; “Homepage design—approved milestone 2” is easier to verify.
Use a numbering system you can maintain
Invoice numbers should be unique and traceable. A simple sequence such as INV-2026-0041 is more useful than random names. Do not reuse an old number for a different transaction.
If you correct an invoice, preserve an audit trail according to local requirements. Often that means issuing a revised document or credit note rather than quietly overwriting the copy already sent.
Calculate totals in the correct order
Vootkit's generator calculates each line as quantity multiplied by price, adds the lines into a subtotal, subtracts the fixed discount and then calculates tax on the discounted amount. The final total is:
subtotal − discount + tax on discounted amount
That order matches the tool's implementation. Your jurisdiction may have rules about taxable discounts, rounding, inclusive pricing and multiple tax rates that a general browser generator cannot infer.
Check every line independently. Confirm decimal positions, currency and whether the price is per hour, unit, day or project.

Write useful payment terms
State an actual due date or a clear period such as “due within 14 calendar days.” Include the approved payment method and the reference the client should use. Avoid placing sensitive account credentials or private access information in a document that may be forwarded internally.
If late fees, deposits, staged payments or cancellation terms apply, they should agree with the contract and local law. An invoice is a poor place to introduce a major condition for the first time.
Review before sending
Check the client's legal name, invoice number, dates, currency, arithmetic and attachment filename. Open the saved PDF rather than trusting the preview. Confirm that no line is clipped and that the total is visible.
Send it to the agreed billing contact with a brief message. Keep the final invoice and evidence of delivery in your records. Do not rely on an email thread as your only accounting archive.

Is this invoice legally valid?
The generator creates a clear document, not legal or tax advice. Validity depends on your location, registration, transaction and required fields.
Should tax be added before or after discount?
Vootkit subtracts the fixed discount before calculating tax. Confirm the correct treatment for your jurisdiction and discount type.
Can I edit the PDF later?
It is better to correct the source fields and export a new controlled version. Editing a PDF manually can create inconsistent totals.
What should I do after payment?
Update your accounting records and issue a receipt when appropriate. Do not change the original invoice into a receipt and lose the transaction trail.

Use consistent numbers, specific descriptions, correct calculations and clear terms. A client should not need to call you to understand what the invoice covers or how to settle it.
