Edit, Count and Compare Writing Without Losing Meaning

A practical editing workflow for word limits, case conversion, line cleanup, readability checks and Markdown exports.

Editing tools are most useful when each has a narrow job. Count to check a limit, compare to review changes, and use a readability score to locate difficult passages. None of those operations can decide whether the argument is correct or whether an important qualification has disappeared.

Keep an untouched original and work on a copy. For a short application, article or client message, the sequence below makes mechanical cleanup easier to review.

Establish the actual limit

Open Word Counter and paste the text you intend to submit. Check whether the destination limits words, characters including spaces, or something else. A 500-character form is very different from a 500-word brief.

Vootkit counts words as groups of non-whitespace characters. Hyphenated expressions and text in languages without spaces can therefore behave differently from another editor's counting rules. Its character count follows JavaScript string length, so some emoji can occupy more than one counted unit.

Use the destination's counter as the final authority. Leave room for a heading or sign-off if those are included in the submitted field.

Turn the count into an editing decision

Suppose a 560-word draft needs to fit a 500-word limit. You need to remove at least 60 words. Start with repeated explanations and unnecessary openings; do not simply cut the last paragraph, which may contain the conclusion or an important condition.

After each pass, check both the count and the meaning. Replacing a detailed example with a shorter one may work better than deleting every descriptive word.

The counter estimates reading time at 200 words per minute and speaking time at 130. A 650-word script therefore produces an estimated five-minute speaking time. Rehearse the actual script: pauses, demonstrations and unfamiliar names can change delivery time substantially.

Apply case conversion to a selected portion

Case Converter handles transformations such as upper, lower and title case. Copy only the portion you want changed. Converting an entire document can damage acronyms, brand names and code identifiers.

For example, an automatically title-cased heading may change the styling of “iPhone” or “API”. Review names afterwards. Sentence case cannot determine which words are proper nouns, and title case is not a substitute for a publication's house style.

Never apply prose cleanup indiscriminately to passwords, URLs or case-sensitive configuration values. Keep those separate from the paragraph being edited.

Clean lists with care

Use Line Tools when your text is genuinely a list of independent lines. Sorting or removing duplicates can help organise a list of topics, but can destroy a poem, numbered procedure or data file where order and repetition matter.

Before processing, decide whether blank lines carry structure and whether repeated entries are errors. Two identical orders in a sales export may represent two purchases rather than a duplicate to remove.

Compare the first and last entries after cleanup, and check the resulting count. If you are working with rows and columns, the CSV inspection guide is a better starting point than treating the file as plain lines.

Use readability as a diagnostic

Readability Checker estimates English readability using sentence, word and syllable counts. The syllable detection is approximate. It does not measure whether the explanation is accurate, well organised or suitable for a specialist reader.

When the score looks difficult, inspect long sentences for multiple ideas. Split a sentence where there is a natural change of subject, define an unfamiliar term and replace an abstract instruction with a concrete action.

Do not remove essential terminology solely to improve a score. A technical guide may need the correct term followed by a plain explanation. This is more useful than a simpler but inaccurate substitute.

Compare the revision against the original

Paste the two versions into Text Diff. Its line-based comparison makes additions and removals visible. Scan changes to numbers, names, deadlines and conditions first.

Rewrapping a paragraph can make a line comparison look busier even when the wording barely changed. Keep similar line breaks when possible, and use manageable sections for large documents rather than assuming a browser tab can compare unlimited text.

Preview formatting before publishing

Markdown Editor helps inspect headings, lists and links. Preview the text again in the destination because Markdown implementations differ. A table or embedded element that works in one editor may not render the same way elsewhere.

Lorem Ipsum is suitable for an early layout test, but replace it with realistic text before assessing whether cards, navigation or buttons fit. Placeholder text cannot reveal whether the actual message is understandable.

Why does another app show a different count?

Apps can use different rules for hyphens, emoji, punctuation and whitespace. Verify with the app receiving the final text.

Does a high readability score mean the text is finished?

No. Check facts, logic, audience and tone separately. Mechanical simplicity is only one ingredient.

What should I save?

Keep the original and the approved final version with clear filenames. The clipboard is a transfer mechanism, not a dependable document archive.
